Terms & Conditions

INFORMATION FROM WOODFORDIA INC. (“WOODFORDIA”)  

These terms and conditions apply to the event for which you purchase tickets (“Event”).  

The Event includes access to the “Festival Precinct” and the “Site” (which includes campsites, parking areas as well as the Festival Precinct). 

NAME ON TICKET  

The name of the ticket holder MUST match the name on the ticket. Photo identification will be required to receive a wristband. Any discrepancies between photo identification and ticket may result in cancellation of the ticket without refund.   

Woodfordia reserves the right to refuse entry to any person who:  

  • Cannot produce a valid ticket  
  • Produces a ticket that has been purchased or obtained through an unauthorised source or through illegal means. 
  • Produces a ticket that has been duplicated. 

GATE OPENING HOURS  

Wristbands and car passes must be collected from ticketing gates. 

Wristbands and car passes are required to be collected during gate hours.  Queueing (in car) will be limited to the time frames below, depending on the ticket you have purchased. 

For Season Campers:  

Only season camping ticket holders can purchase tickets for Christmas Day.  

25 Dec: 8am-8pm (Christmas Day add on) 

Group 1: 8am intake – Queueing only permitted from 4pm on 24 Dec. 

Group 2: 1pm intake – Queueing only permitted from 11am on 25 Dec.  

26 Dec: 6am-10pm  

Only season camping ticket holders can enter on 25 Dec (with ticket add on) or 26 Dec.  

Patrons who have arrived before their allocated queuing time will be turned away by security.  

For all ticket holders 

27 Dec – 31 Jan: 8am-10pm 

1 Jan: 8am-8pm 

For Day ticket holders 

Day ticket wristbands can be collected from drive-through ticketing gates, from 8am on the date of the ticket.  

For Overnight ticket holders 

Overnight ticket holders attending for more than one day can collect their following day’s wristband from the Overnight Ticketing Office located in the overnight campgrounds, next to the Happy Campers Office.  

Overnight ticketing operates from 28 Dec – 1 Jan, 7am – 2pm each day. 

Showgrounds ticket holders 

Patrons camping at the Showgrounds can obtain a ticket from the Ticketing and Solutions Office at the Showgrounds:  

  • 26 Dec: 8am – 8pm (Powered Sites – Season Campers only) 
  • 27 Dec – 1 Jan: 8am – 5pm  

For Artists and Presenters  

Artists and Presenters can collect wristbands from Gate 3, Artist and Presenter Ticketing Gate from the 26th December.  

PARKING  

  • Parking is not permitted on Woodrow Road at any time leading up to, during or after the Event.  
  • Every car which enters the camping areas requires a vehicle pass. Cars can either be parked in the campgrounds (if you have purchased the appropriate car pass) or removed from the campgrounds and parked in long-term parking areas on the Eastern Bloc.  
  • When the long-term parking area reaches capacity, vehicles will be diverted to the Showgrounds as an overflow parking area. Coaches will be available to transport patrons to and from the Event site. 

ENTRY  

All patrons entering the Event are required to follow the conditions of entry:  

  • Wristbands must be worn at all times.  
  • Footwear is compulsory at all times (except during participation in a workshop which requires no footwear, such as yoga). Patrons without footwear will be unable to enter the Event precinct. 
  • Do not smoke or vape in areas other than designated smoking and vaping areas that are indicated on the site map. 
  • Please refrain from littering in the venues or surrounding areas.  
  • Do not cause damage to, improperly use or tamper with any public facility or festival infrastructure.  
  • Do not light or cause to be lit any fire (including barbecues) 
  • Do not operate any event equipment (generator, vehicle, sound and lighting system, two-way radio). 
  • Patrons must only exit and enter the venues via the designated routes/exits and emergency exits.  
  • Do not behave in a threatening or inappropriate manner (aggressive, riotous, abusive, or insulting actions) towards other patrons or event staff. 
  • Do not possess on Site (including the Festival Precinct and camping areas) any prohibited or illegal objects. Prohibited items include drones, professional video and audio recording devices, weapons of any kind, fireworks, and illegal drugs or drug paraphernalia. 
  • Do not cause any damage to flora and fauna on or surrounding the venues. 
  • For your safety, please do not enter any onsite bodies of water, except in clearly designated and patrolled swimming areas in Lake Gkula, during advertised operating hours, with a valid ticket. 
  • If you’re visiting Lake Gkula, please follow Lake Gkula entry and safety conditions and follow the directions of our lake volunteers who are there to observe and keep you safe.   

Patrons who do not follow the above guidelines may be asked to leave the festival site, and a refund will not be offered.  

Woodfordia Inc reserves the right to ask a patron/s to leave the Event site if they: 

  • Are found to have entered the site without a valid wristband. The person will be handed over to authorities and removed from the Event site. 
  • Do not comply with any of these Terms and Conditions  
  • Are in possession of any illegal item. Carry bags will be searched prior to entry to the Festival Precinct. 
  • Are involved in any illegal activity, including underage drinking. The offender (and their Guardian) will have their wristband removed, the matter referred to the Police, and be escorted from the festival site. 
  • Are behaving in a manner that reasonably interferes with other patrons’ enjoyment of the festival. 
  • Are causing damage, being disruptive or threatening the safety of other people on the festival site. 

Evicted patrons will not be permitted to re-purchase tickets and must leave the festival site immediately. 

WRISTBANDS  

  • Wristbands are required to be worn at all times.   
  • Lost, left-at-home or tampered with wristbands are unable to be replaced by Woodfordia.  
  • Any replacement wristbands must be purchased at the full gate price.  
  • Wristbands for Day Ticket holders will be issued from 8am of the date of the ticket. Only Season with camping ticket holders will be allowed to access the Event precinct before 8am.  

TICKET REFUNDS 

Tickets can be resold via Tixel.  Names on purchased tickets can also be changed online through the patron ticketing portal. 

Refunds will not be given for the following reasons:  

  • If you (the patron/s) arrive late or leave the Event early for any reason.  
  • Change of mind or change of personal circumstance.  
  • Poor weather before or during the Event.  
  • Any change in programming. 
  • COVID-19 or COVID-19 related symptoms. 

BOOKING FEE  

Online purchases are subject to a $2.50 booking fee per ticket and a 1.5% credit card fee on the transaction total.   

PROGRAMME CHANGES  

While every attempt is made to present the programme as advertised, the programme may be subject to change without notice. Refunds are unable to be given due to a change in programming.   

MINORS (CHILDREN AND YOUTHS)  

All patrons under 18 years of age (minors) must be accompanied by an adult Guardian. All Guardians must camp with the minor that they accompany and assumes full responsibility for that minor. 

Minors are unable to be issued a wristband at the gate without their Guardian present.  

  • The Adult with the Guardian responsibility of Youths (13 – 17) must be 25+.  
  • The Adult with the Guardian responsibility of Children (0 – 12) must be 18+.  
  • Any one Adult with Guardian responsibility must not assume responsibility for more than 3 under 18’s. 

It is the responsibility of the Guardian to ensure that all minors they accompany: 

  • Comply with these terms and conditions, 
  • Comply with any instructions issued by Event staff and/or contained in all permanent and temporary signage throughout the Site, 
  • Do not engage in any illegal or disruptive activities whilst on Site, including underage drinking, use of illicit substances or any generally disruptive behaviour.  

Any breach of these conditions may result in the eviction of the Guardian and all accompanying minors from the Event site.  If a minor is evicted, their Guardian and all other accompanying minors will also be evicted. 

AGE  

  • Ages are calculated at the date of entry to the Event. Please ensure you purchase the correct ticket type for your age.  
  • Valid proof of age is required for all 18+ ticket holders at the Event Ticket Gate.  

COPYRIGHT  

Patrons may be photographed and/or filmed at the Event and that these images may be used for a variety of printed, online and broadcast promotional and/or internal purposes in relation to the Event. If patrons do not wish to be photographed or filmed for these purposes, they must advise the photographer/camera operator.  

We know people take images and film snippets of festivals and their artists. However, any recordings of concerts or shows exceeding something considered a snippet cannot be made without the performer/presenters’ express and prior consent.   

Any photography or recording may only be used for private purposes, and not for public display or for commercial use.  

ANIMALS  

Woodfordia is a registered land for wildlife site. No pets or domestic animals are permitted, except assistance animals. 

Prior to bringing a registered assistance animal on Site, please complete the application through our website.  

SMOKING AND VAPING  

Smoking and vaping is only permitted in designated and signed smoking and vaping areas.  

CAMPING  

  • Every person camping must purchase a camping ticket.   
  • Patrons without the appropriate camping area wristbands will not be permitted to enter the relevant camping areas.  
  • Camping areas are designated quiet zones from 10pm onward. Please respect your neighbours by turning down your music.  Disruptive behaviour will not be tolerated.  
  • All members of a campsite causing disruption may be evicted from the campsite.  
  • Campfires and generators are not permitted in the camping areas.  
  • All campers must take their waste to the designated waste collection points, aka bins. 
  • All campers are required to depart on 2 Jan, 12 noon.  

Day Camping tickets 

  • Day camping tickets allow for camping on the night of the ticket date only and not the night before.  
  • Day camping ticket holders may be required to camp at an offsite location should our festival overnight camping area become sold out. 

Oversized Vehicles (6.5+ meters)  

  • Patrons with oversized vehicles (greater than 6.5meters in length) may purchase an area pass for a campsite in a designated (flat) area of the Season Campgrounds. 
  • An oversized vehicle allocated campsite cannot be shared with other tent campsites; it is reserved for oversized vehicles with a valid allocated area pass only. 

No Tarps Down Policy  

  • Patrons who set up in season camping are not permitted to place tarps at any time to reserve an area for friends or family arriving at a later time. Any tarps found laid out onsite will be confiscated, and not available for return.  

Breach of the above conditions may result in the removal of the patron, or the entire group, from the Event site.  

CAMPING AT THE SHOWGROUNDS   

TENT CITY OVERNIGHT, SEASON CAMPING POWERED SITES, OVERNIGHT CAMPING OVERFLOW  

This year, Woodfordia will have a host the following at the Woodford Showgrounds:  

  • Overnight Tent City patrons 
  • Powered sites – Season Camping patrons only 
  • Overnight camping overflow (once overnight campgrounds on site has sold out)  

A shuttle bus will be provided to the Festival Site.  Patrons must have a valid festival wristband to board the bus. 

Ticketing and Solutions Office Hours:  

  • 26 Dec: 8am – 8pm (Powered Sites – Season Campers only) 
  • 27 Dec – 1 Jan: 8am – 5pm  
  • Entry prior to 8am on the 26 December is not permitted. 

General Terms: 

  • Campfires are not permitted;  
  • Domestic pets are not permitted.  
  • General campground terms and conditions as outlined above are applicable at the Showgrounds campground. 

Powered Sites: 

  • Patrons who purchase a powered site add on ticket will be camped at Woodford Showgrounds.  
  • Powered sites are available to caravans, RVs, buses and camper trailers.  Powered sites are not available for tents.  
  • Powered site bookings must show that the power leads have been tested and tagged.  

ALCOHOL  

The Festival Precinct is a licensed event. BYO alcohol is not permitted within the Festival Precinct. Bags will be searched at the Festival Precinct entry points.  

Alcohol is not permitted to be taken on coaches or brought into the Festival Precinct. Alcohol purchased in the Festival Precinct cannot be removed from the festival or taken on coaches.  

Any person found involved in underage drinking or with BYO alcohol within the Festival Precinct will have their wristband removed, issued an infringement notice and fine by the Police, and evicted from the Site. Guardians of any minors involved will also have their wristband removed and be evicted from the Site.  For the avoidance of doubt, this includes eviction from the campground. 

Copies of the liquor licence are located at entrances to the festival precinct and must be adhered to at all times.    

LIABILITY 

Woodfordia takes no responsibility for loss or damage to personal property.  

Patrons enter the venue at their own risk and to the maximum extent permitted by the law, Woodfordia, its employees and all other persons involved in the organisation, sponsorship and promotion of the Event accept no liability for any injury, loss, claims, costs, expenses or damage (collectively “Claims”) which may be suffered or incurred or which may arise directly or indirectly in respect to the supply of goods or services, or the ticketholders attendance at the Event, including liability for negligence.   

Woodfordia, its employees and all other persons involved in the organisation, sponsorship and promotion of the event accept no liability for death or personal injury howsoever caused.  

Each patron indemnifies Woodfordia in respect of all Claims made in connection with their attendance at the Event and, to the full extent permitted by law, each patron releases and discharges Woodfordia, its employees and all other persons involved in the organisation, sponsorship and promotion of the Event, from all such Claims.  

SEVERANCE  

If any of these Terms and Conditions are illegal or unenforceable, the offending part is to be disregarded and does not affect the remaining part.

WE ARE UNABLE TO OFFER REFUNDS FOR THE FOLLOWING REASONS: 

  • Partial or full refunds cannot be offered if the patron/s arrive late or leave the Event early for any reason. 
  • Change of mind or change of personal circumstance. 
  • Poor weather before or during the Event. 
  • Refunds are unable to be given due to a change in programming.
  • COVID-19 or COVID-19 related symptoms.

Tickets can be sold via Tixel. Names on purchased tickets can be changed online.

  • Help us look after our flora, fauna and waterways 
  • For your safety, please do not enter any onsite bodies of water, except in clearly designated and patrolled swimming areas during advertised operating hours 
  • We ask that you follow Lake Gkula entry and safety conditions and follow the directions of our lake volunteers who are there to observe and keep you safe 
  • Artist and Presenters are unable to enter the festival site prior to the 26th December. 

Patrons that are unable to follow the above guidelines may be asked to leave the festival site, a refund in this case cannot be offered. 

Festival Organisers reserve the right to refuse entry to any person who: 

  • Cannot produce a valid ticket 
  • Produces a ticket that has been purchased or obtained through an unauthorised source or through illegal means 
  • Produces a ticket that has been duplicated 
  • Is in possession of any prohibited or illegal objects

YOUTH POLICY 

All minors must be accompanied to the festival by an adult Guardian. 

It is the responsibility of the Guardian to ensure that all minors they accompany comply with instructions issued by Event staff and/or contained in all permanent and temporary signage throughout the Event site.

The holder of the Adult ticket must assume a Guardian responsibility to non-adults. 

  • The Adult with the Guardian responsibility of Youths ( 13 – 17 ) must be 25+. 
  • The Adult with the Guardian responsibility of Children ( 0 – 12 ) must be 18+. 
  • For every 3 non-adult tickets, there must be 1 Adult Guardian. You either add the corresponding number of Adult tickets or limit to 3 non-adult tickets only. 

Youth are unable to be issued a wristband at the gate without their guardian present.

The Event is a licensed event. BYO alcohol will not be permitted within the Event precinct. Bags will be searched at the Event precinct entry points. 

Any person found involved in underage drinking or caught with BYO alcohol within the Event precinct will have their wristband removed, issued a citation and a fine by the Police, and evicted from the Event site. Guardians of any minors involved will also have their wristband removed and be evicted from the Event site. 

Copies of the liquor licence are located at entrances to the festival precinct and must be adhered to at all times.   

PARKING

  • Is behaving in a manner that reasonably interferes with other patrons’ enjoyment of the festival
  • Is causing damage, being disruptive or threatens the safety of other people on the festival site
  • Evicted patrons will not be permitted to re-purchase tickets and must leave the festival site immediately

Woodfordia takes no responsibility for loss or damage to personal property. Patrons enter the venue at their own risk and to the maximum extent permitted by the law, Woodfordia, its employees and all other persons involved in the organisation, sponsorship and promotion of the Event accept no liability for any injury, loss, claims, costs, expenses or damage (collectively “Claims”) which may be suffered or incurred or which may arise directly or indirectly in respect to the supply of goods or services, or the ticketholders attendance at the Event, including liability for negligence. Woodfordia, its employees and all other persons involved in the organisation, sponsorship and promotion of the event accept no liability for death or personal injury howsoever caused.

Each patron indemnifies Woodfordia in respect of all Claims made in connection with their attendance at the Event and, to the full extent permitted by law, each patron releases and discharges Woodfordia, its employees and all other persons involved in the organisation, sponsorship and promotion of the Event, from all such Claims.

CAMPING

Day and Evening camping tickets allow for camping on the night of the ticket date only and not the night before.

Every person camping must purchase a camping ticket.

Patrons without the appropriate camping area wristbands will not be permitted to enter the relevant camping areas.

Camping areas are designated quiet zones from 10pm onward. No loud music or disruptive behaviour will be tolerated.

All members of any campsite causing disruption will be evicted from the campsite, no warnings given.

Campfires are not permitted in the camping areas.

Generators are not permitted in the camping areas.

All campers must take their waste to the designated waste collection points.

Breach of the above conditions may result in the removal of the patron, or the entire group, from the Event site.

ALCOHOL

The Event is a licensed event. BYO alcohol will not be permitted within the Event precinct. Bags will be searched at the Event precinct entry points.

Any person found involved in underage drinking or caught with BYO alcohol within the Event precinct will have their wristband removed, issued a citation and a fine by the Police, and evicted from the Event site. Guardians of any minors involved will also have their wristband removed and be evicted from the Event site.

Copies of the liquor licence are located at entrances to the festival precinct and must be adhered to at all times.

PARKING

Parking is not permitted on Woodrow Road at any time leading up to, during or after the Event.

Every car requires a car pass.

SEVERANCE

If any of these Terms and Conditions are illegal or unenforceable, the offending part is to be disregarded and does not affect the remaining part.
